Junior HRIS Expert – Document Management System
(Part-time, 32–38 hours per week)

This is your daily action
As Junior HRIS Expert you are part of the HR Projects, Processes and Systems department and report directly to the Team Lead Business Support. Your focus is on providing a consistent, correct and stable document management solution across all Action countries – while continuously improving it. You work closely with IT, Country HR, HR Administration and the broader project team, and you will grow into the go-to person for your application.
You will also support the roll-out of the solution to new countries, guide local teams through template changes and coordinate testing to ensure a smooth go-live. Along the way you will build your communication and stakeholder management skills.
Your responsibilities include:
- Creating template process changes in the system to keep contracts and letters accurate and up to date
- Training HR colleagues to use the document management solution correctly
- Monitoring and reporting on changes and incidents via ServiceNow
- Coaching team members and end users of the application
- Setting up and applying country-specific rules provided by HR experts and country HR
- Configuring the document management system for letters and contract templates to ensure a smooth, automated HR administration
- Assisting in projects and system configuration across the full HR system landscape

Action is expanding rapidly, and our HRIS department is growing with it. Alongside HR Projects, Processes and Systems, Action has an international HR Services department and centres of excellence for Recruitment, Compensation & Benefits, Learning & Development and HR Business Partnering. The HR Projects, Processes and Systems department is a team of around 40 people, organised in three teams: HR Projects, HR Processes and HRIS Development. The HRIS Development team covers the entire HR system landscape across all Action countries.

This is you
You have a sharp eye for detail and a genuine interest in HR systems – in particular PeopleDoc. You can analyse configurations, translate functional HR requirements into technical specifications and recommend practical solutions. You are self-driven, well organised and able to prioritise your workload. Your communication skills allow you to explain technical changes clearly to end users and to train others on new software.
In addition:
- A completed bachelor’s or master’s degree in Business, Data Analytics, HR, Finance, Computer Science, Statistics, Mathematics or a related field – or equivalent work experience
- At least 1–2 years of experience in an HR Administration or HR Systems role, preferably in an international environment
- A solid understanding of MS Office (e.g. form letters, merge fields and connectors)
- Experience with HR cloud solutions – preferably SuccessFactors and UKG; PeopleDoc experience is an advantage
- Experience with UAT testing: writing test cases, executing tests and coordinating test completion
- Good communication and intercultural skills
- Excellent command of English
- Strong logical, analytical and digital thinking
