About the Job

As a Store Facility Coordinator within Action, you will be part of the Real Estate department and report directly to the Construction Manager.

You will be responsible for carrying out a variety of tasks to ensure that Store Facility is performed correctly, e.g. monitoring Store Facility contracts, keeping Store Facility data up to date, handling of 3rd line technical issues, supporting the Construction Manager on day to day business or side projects.

Areas of Responsibility:

Management

  • Manage complex owner issues together with the Acquisition department/portfolio department that cannot be dealt with adequately by the contracted service providers or Action’s internal store facility team. Check contract agreements and debate with owners on the execution and timing;
  • Monitoring the execution of maintenance contracts by doing regular meetings with external suppliers. Proactively seek out collaboration with suppliers to improve processes and reduce costs;
  • Under the supervision of the Construction Manager and IHQ, initiating, setting up and supervising tenders for preventive and reactive maintenance, check equipment's status and reduce costs of Store Facility Management;
  • Setting up cost and ticket reports for the Construction Manager to monitor progress, expected results and possible opportunities.

Executive

  • Keeping track of and processing 3rd line complaints and malfunctions in the Action stores;
  • Requesting and assessing offers and quotations and, if necessary, in consultation with the Construction Manager, granting the order and processing this administratively;
  • Responsible for the cost, planning and quality for side projects that are implemented in existing stores;
  • Track energy consumption of the stores and minimize the usage by investigating and implementing optimizations.

Effectiveness /Efficiency

  • Gain insight into the knowledge needed to handle and minimize questions and complaints efficiently, in collaboration with the Construction Manager and other departments. Where necessary, to investigate where improvements are possible (adjustment of the Program of requirements, proactive vs reactive maintenance, communication with regard to specific documents, etc.)
  • Providing input and improvement advice from day-to-day practice with regard to processes, procedures, working methods and systems within the Store Facility department.

General administration

  • Performing various (administrative) support activities for the Store Facility department (including mail processing, digital archiving, answering telephones, asset registration) to make sure that the Construction Manager can handle the second line tickets in an efficient and simple manner;
  • Keep up to data and improve Real Estate manuals/information in Service Now/ Planon/Anet.

About You:

  • Minimum technical Bachelor’s degree in combination with minimum 5 years of relevant working experience;
  • Proven experience within Real Estate;
  • Experience with different software systems / able to get quickly acquainted with new applications / system;
  • Fluent (written and verbal) in Portuguese and English.
  • Team player, strong motivator and communicator;
  • Demonstrates a high level of pragmatism;
  • Experience from fast growing environments.
