As a Payroll Reconciliation Specialist, you will be responsible for ensuring the accuracy and integrity of payroll-related financial data across multiple European countries. Your core tasks include reconciling payroll transactions with the general ledger, preparing precise journal entries and accruals, and resolving discrepancies in close collaboration with Finance and Payroll teams. You’ll play a key role in maintaining compliance with internal controls and statutory requirements, while also supporting internal and external audits. In addition, you’ll drive process improvements and help maintain standard operating procedures to enhance accuracy and efficiency across the payroll reconciliation process.
Your responsibilities will include
- Match and reconcile payroll data with financial records to ensure that all payroll outputs are correctly reflected in the financial administration.
- Prepare payroll-related journal entries and accruals in a timely and precise manner.
- Investigate and resolve discrepancies in payroll data in collaboration with Finance and Payroll teams.
- Ensure compliance with internal financial controls, tax regulations, and statutory payroll requirements.
- Support internal and external audits by providing reconciliations, documentation, and timely responses to inquiries.
- Identify and implement improvements in payroll reconciliation processes and maintain clear standard operating procedures.

At Action, our HR Shared Services department plays a central role in supporting our international operations. As part of this team, you’ll work closely with colleagues across Europe to ensure accurate and efficient payroll processes. Collaboration is key — not only within HR Shared Services, but also with our Financial Accounting team and Business Controllers. Together, we ensure that payroll data is correctly aligned with financial records and supports sound business decisions. While other HR teams such as Recruitment, Compensation & Benefits, and People Development contribute to our broader HR strategy, your role is primarily focused on operational excellence and cross-functional cooperation within Shared Services and Finance.

Who you are
You are a proactive, curious, and detail-oriented professional who combines accuracy with a strong sense of urgency. With excellent analytical and problem-solving skills, you approach challenges with a structured and pragmatic mindset. You’re highly organized, able to prioritize effectively, and deliver consistently—even under pressure. A clear communicator and strong team player, you collaborate with ease across functions while also working independently when needed.
Additionally, you have:
- A bachelor’s or master's degree in accounting, Finance, or a related field;
- Minimum 3 years of experience in payroll reconciliation, payroll accounting, or financial reporting;
- Strong knowledge of payroll processes, accounting standards (GAAP/IFRS), and financial systems
- Exceptional attention to detail and accuracy;
- Proficiency in Microsoft Excel and a good general understanding of accounting- and payroll software
- Familiarity with statutory payroll requirements and tax regulations.
- Good written and verbal communications skills in English
