The Organisational HR Admin Specialist is part of the HR Projects, Processes and System department and reports directly into the Manager HRIS. The focus of this role is to provide a consistent organizational structure that reflects the set up across all Action countries. You support and ensure that the role assignment and position management is up-to-date and continuously improved. Additionally, you will have the opportunity to build your communication and stakeholder management skills. You will work closely with the HR Business Partners, Country HR, HR Administration, and the project team.
Responsibilities:
- Ensure an up-to-date organisational structure throughout the HR system landscape (for e.g. SuccessFactors and Kronos)
- Administrate positions, org units, relationships and management lines in SuccessFactors and downstream systems (create stores, new positions and establish new relationships between those)
- Act as first point of contact for ad-hoc changes and incident management of the organisational structure
- Together with other stakeholders help improving the processes of changes
- You are used to handling highly sensitive and confidential information
- Update documentation about the process and structures
- Act as subject matter expert in projects for OD management
- Perform controls of the system and troubleshooting/error management
Meet your team
Action is expanding rapidly, and this requires the HRIS department to respond accordingly. Besides the HR Projects, Processes and System department, Action has an international HR Services department and a ‘centre of excellence’ for Recruitment, Compensation & Benefits, Learning & Development and HR Business Partner team. The HR Projects, Processes and System department is a team of approximately 50 people working in teams; HR Projects, HR Processes and HRIS. The HRIS is covering the whole HR system landscape for all countries within Action.

This is you
As Organisational HR admin Expert you possess a keen eye for detail and deep understanding of HR systems and interfaces, specifically SuccessFactors and/or Kronos. You understand the sense of urgency inherent to this role and can skilfully prioritise tasks daily. You have strong stakeholder management and communication skills across all levels and countries. You are self-driven, and you have a very good time- and task management. One of your qualities is high accuracy and an eye for detail that nothing in the process is missed. You are highly motivated by your work and clearly see how your contributions align with the bigger picture. You are adept at handling highly sensitive information that must remain confidential.
In addition you have:
- A MBO level 4 degree in Business, , HR, Business, Finance, or related field of study or equivalent work experience.
- At least 1-2 years of work experience in an HR Admin role, preferably in an international environment
- A profound understanding of HR Systems preferably SuccessFactors or Kronos
- Good communication and intercultural skills
- Excellent knowledge of English language (Dutch is a plus)
- High logical, analytical and digital thinking
