Management Assistant I
The Management Assistant reports directly to the assigned manager. The main focus is on supporting the manager and enabling them to function optimally by organizing and carrying out administrative and organizational activities.
Responsibilities
Secretary
- Monitoring the e-mail inbox and incoming e-mail
- Organizing and preparing meetings and/or discussions, collecting and forwarding incoming documents if necessary as well as creating the schedule
- Schedule appointments, make arrangements for meetings and conferences, and organize travel plans following detailed instructions to facilitate business meetings.
- Monitor action points and deadlines and take action when necessary
- Opening and sorting mail for management and, when necessary, taking action and ensuring a complete handling thereof
Administration
- Independently drafting and sending correspondence to external parties and drafting letters and/or e-mails based on the requests from the management
- Drafting written reports of meetings and discussions of the MT members, sharing the minutes with stakeholders and archiving minutes and relevant documents in a clear manner
Company travel management
- Organize and manage company travels for employees.
Work Experience
Collage work and thinking level, based on an collage education with approximately 3-6 years of relevant work experience or based on 10 years of relevant work experience

- Actively searches, within the responsibilities of the role, for the requests and needs of the manager
- Comes up with proposals to organize processes efficiently in terms of the deployment of both time and resources
- Is positive and helpful to colleagues, takes over work or supports them when necessary. Also asks colleagues for help when needed
- Is very organized, knows how to structure work and projects, meets agreements within deadlines and in accordance with guidelines
- Show that less can be more by simplifying processes and activities where possible
